A gateway processes payment, subscription management organises the recurring relationship, and invoicing produces sales documents. One tool may cover several tasks, but you should not assume they are all included.
Follow the sale, not the feature list
Consider this sequence: agreed sale → payment → product or service status → document. Each step answers a different question: what was bought, whether payment succeeded, what should be delivered and how the sale is recorded.
If a tool promises “billing”, ask which tasks it handles and on what terms. The word does not represent exactly the same functions in every product.
Three examples to identify the missing work
| Fictional example | Payment | Additional management |
|---|---|---|
| A one-off session | Collect the agreed price | Confirm the booking and prepare the document |
| A course in three instalments | Collect each due amount | Track the balance and end the schedule |
| A subscription resource library | Collect each period’s payment | Renew access, handle cancellation and deal with failures |
A gateway can be part of all three. The difference lies in what the surrounding systems coordinate. You do not need a larger platform if your store already handles the relevant work well.
What should you ask about documents?
Ask what is generated, which information it uses and who checks tax treatment. A payment receipt and an invoice should not automatically be treated as interchangeable. Producing a document also does not mean the platform takes over the seller’s obligations.
Our digital services guide separates payment, access and responsibilities for subscriptions.
When is another management tool useful?
When you can name a repeated task that is still disconnected: preparing monthly amounts, changing access manually or finding which period a payment covers. Describe the input, expected outcome and exception someone will need to review. That defines the need better than “automate everything”.
Tell us which task makes your sales difficult to follow. We can examine what can connect to the systems you already use.
