When renewal does not complete, check the payment result before requesting another charge. A confirmed decline and a response that has not arrived are different situations. The customer’s screen does not always establish the financial outcome.
Decide the next action from the verified state
| Verified state | Action to prepare |
|---|---|
| Payment confirmed | Match it to the period and update the service |
| Decline confirmed | Review the available reason and permitted next steps |
| Result pending or unknown | Resolve the previous operation before trying again |
| Subscription cancelled | Check the effective date and stop relevant scheduling |
Do not tell someone they lack funds unless the result establishes that. An active subscription also does not mean its current period has been paid.
What should the customer hear?
For a confirmed failure: “We couldn’t complete payment for this period. You can review your payment method in your account.” Only use that instruction if the account journey actually exists.
For an unknown result: “We’re checking the result of your payment. Please wait for confirmation or contact support before trying again.” These are copy examples, not claims about a particular automated feature.
Organise retries carefully
Identify each attempt and link it to the service period being collected. Decide when another attempt is permitted, who initiates it and what happens if a late confirmation arrives. Avoid unlimited retries or assuming every decline reason should be handled in the same way.
Receiving a notification twice should still represent the same result. It is neither another sale nor an instruction to charge again.
A card decline is not a returned direct debit
For direct debit, review the bank result and procedure for the applicable scheme. Do not automatically copy card retry rules into a SEPA collection process. Our direct debit guide separates submission, outcome and exception handling.
Coordinate access
Decide the service policy: temporary continuation, review or suspension under the agreed terms. Keep it consistent with payment status, while recognising that an access decision does not itself create or reverse a financial transaction.
Measure periods as well as attempts
Count periods due for renewal, periods attempted and periods eventually paid. Keep these separate from attempt counts: three attempts for one period are not three renewals. Track how long unknown results take to resolve too.
