Direct debit software should connect the member’s authorisation, fee, submitted instruction and bank result. Producing a file or sending a batch is one step; you still need to know what happened to each fee.
Direct debit is different from a transfer
A SEPA Direct Debit is initiated under the payer’s mandate. The European Payments Council describes the Core and B2B schemes. Confirm the relevant scheme, terms and service with your bank.
Do not apply one scheme’s conditions to the other or assume an immediate final result.
Follow each fee through the process

Use fictional data to test the journey. You do not need to publish IBANs, mandates or member information to verify the record design.
What should you ask the software provider?
Check bank compatibility, supported formats and versions, mandate management, status returns and rejected or returned collection tracking. Establish whether submission is automatic or someone must upload a file. Costs and operational responsibility depend on that distinction.
Also identify who maintains the connection when bank requirements change. A “SEPA” tick on a feature list does not describe the full service.
When a fee is returned
Update the record without deleting the earlier attempt. Assign responsibility for reviewing the reason, contacting the member and deciding the next step. Coordinate gym access with membership terms rather than treating every provisional result as cancellation.
